To CPI, quality means entering data from source
documents without errors or omissions (and delivering on-time). CPI
achieves this with thorough planning, testing, staff training, technology,
and
quality assurance programs.
Planning - Good planning up front averts
poor quality at the end. CPI's U.S. Project Manager will consult with
you to learn exactly how you will use your data output. Then we work
collaboratively with you to develop project specifications, output formats
and project schedules that meet your requirements.
Testing - Before CPI begins full production of your project, we perform
tests to assure the final results are exactly what you want. Testing
usually uncovers potential quality or production issues, and lets you
see and approve the actual output format.
Technology - Computer software
helps verify the accuracy of data entry; CPI uses field validation,
table lookups, consistency formulas and logic rules to do so. Validation
tables
ensure only acceptable data is entered. For instance, your project
may require that we check zip codes, cities, and states against the
Postal
Service database, or medical diagnosis codes against the AMA database.
If your project calls for a specific database of acceptable information,
our software will set "validation" rules and checks for it.
CPI also
randomly checks data entry accuracy by proofreading, visually inspecting
output documents or databases, and by performing data sorts with
logic rules. In addition, we carefully monitor each staff member's accuracy
to improve training and reduce errors or delays.
Our China-based technology
team is dedicated to developing and continually improving CPIís
proprietary data capture software. This software allows double
or triple data
entry, OCR/ICR/OMR and other capture techniques as may be required
by your
project. Its modules include those for database interface extraction
or validation, workflow management, quality control, productivity
monitoring and systems maintenance. And because CPI staffs its
own on-site programming
team, we can quickly modify the software to meet your unique project
requirements.
OCR with Verification - Optical Character
recognition (OCR) provides fast, automated data extraction for source
documents
with clear printing and consistent formats. CPI will test multiple
OCR products to find the best fit for your project. In addition,
we will set the selected OCR software to the accuracy "confidence" level
you require, and train it to recognize characters specific to your
source documents, including endless numbers of fonts, typefaces,
type sizes, printer output errors, smudged outputs, and old, faded
documents. During your OCR project, operators continually monitor
accuracy results. If OCR cannot accurately recognize at least 90%
of the data, it is usually more cost effective to use double entry
keying instead.
Double Entry Keying - Where two independent
data operators key the same data, is a proven way to guarantee accuracy.
A computer compares the results and notifies
the operator of differences in the two resulting databases so the
operator can determine which data are correct. If source documents
are illegible, we identify the problem and send you a list of documents
from which you may find the correct information.
Continual Training
- CPI continually provides training to our new and existing employees
to help them achieve high accuracy. For the most complex projects,
staff receives special training to learn how to make decisions
when entering data, such as identifying unique forms or searching
a document to locate the correct information among possible fields
or choices.
Quality Assurance - To CPI, quality means
accurate entry without omissions. But quality also means that the finished
product
meets your accuracy,
format
and deadline requirements. In addition, quality means the output data
works in your system and provides you with useful information. Because
quality is always
project-specific, CPI will develop a unique quality assurance program
for your projects. Our overall QA system includes procedures and schedules
for data entry,
validation checking, random quality checks and output delivery. Schedules
are entered into a tracking system by manageable batch sizes, while
output is checked
in both our China data entry facility and in our U.S. offices before
delivery to you.
