For unstructured documents or those needing interpretation, a knowledge-based process builds an index by reading documents or a folder of related documents, coding them or summarizing the content.
• Custom Approach: Each project is unique. Project managers work with clients to identify indexing and coding field requirements. We classify each requirement as critical (requiring at least 99.95% accuracy) or noncritical. We also classify each index field as an objective or subjective.
• Objective Data: Social Security numbers, check numbers, preprinted invoice numbers and similar documents fit this group. The indexer or optical character recognition (OCR) software finds and enters the correct data, with verifying checks.
• Subjective Data: This involves decisions and interpretation, such as recognizing document types or interpreting legal clauses, recognizing invoice information, or health care rejection codes, and applying knowledge rules for many different situations. Coding manuals, custom software, training programs and quality controls are created for each project, with early testing to confirm the output database works as the best solution.

Or it can be as complicated as reading an entire document, or a folder of related documents, to code document types, locate unstructured data or summarize the content. At CPI, we've handled it all.

Every document indexing and coding project is unique. The CPI project management staff works with you to identify the indexing and coding field requirements. We classify each requirement as critical (i.e requiring 99.95% or greater accuracy) or non-critical.

For critical fields we apply the highest indexing standards, including combinations of double or triple key entry and/or OCR/ICR, with look-up verification databases, logical field checks and human proofreading.

We further classify each index field as an objective or subjective.

For objective data (such as social security numbers, check numbers, preprinted invoice numbers, etc.) the indexer or OCR is trained to find the correct data and enter it accurately, with the appropriate verifying and quality techniques.

For subjective data that involves decision making and interpreting information (for example recognizing documents types from hundreds of possibilities, or reading and identifying the parties to a title transfer as the grantor or grantee) we create unique coding manuals and training programs for each project.
