Project

Register of Deeds for a large Michigan County. This County has added all documents recorded between 1936 and 1986 to an on-line document library. The database improves public access and reduces costs for employees to organize, search and retrieve documents. CPI was employed to index the documents for easy retrieval from the database. The data captured includes document type, multiple Grantors/Grantees (include AKA, FKA, aliases), 'How Held' status, marital status, Liber/Page, reference numbers, instrument and recorded dates. Staff used double-entry keying with look-up databases for verification, resulting in 99.9%+ accuracy.

Deed Records - NY County Register of Deeds . The Register's Office engaged CPI to scan 500,000 microfilm frames to tif images and to capture index data for more than 5 million records. Indexes included Grantors/Grantees, liber/page/registration, recorded date, and legal description (township, range). Total project captured over 600 million characters using double entry for 99.9+% accuracy.

Oil and Gas Leases - Montana County Clerk . The County Clerk needed to scan images of oil and gas leases (dating to the 1930's) from microfilm to tif. CPI staff then helped to identify the starting and ending page for each document, and to rename images to locate and organize each document.

Utility Company Easements. The largest utility company in Scotland needed to code and index an image database of all documents related to property easements (dated to the 1920's). Documents included maps, legal contracts, deeds, property descriptions, and correspondence. CPI captured document types, legal descriptions, lists of property owners, and transaction dates. The project required searching correspondence to determine final property holder following the historical chronology of sales and inheritance. Source documents are handwritten, typewritten and forms.

Quantity: 500,000 files, each containing 10-30 documents relating to the easement contract

Project

Vital Records. Birth, Marriage and Death Certificates - large NE State. CPI performed data capture to organize the image database for all vital records from 1940 to 2001. Data captured includes names (husband, wife, father, mother, newborn, deceased), dates of marriage, birth, or death, and vital document certificate numbers. State and local government units used a variety of form types over the decades covered by the project. Documents had mixed handwriting and typewriting. Double entry keying and proofreading for over 99.9% accuracy.

Quantity: 600,000 certificates

Turnaround: 90 days, documents indexed as available from the on-site scanning company.

Fishing and Hunting License Applications - State Department of Natural Resources. Data entry of name, license number, and license dates from a large backlog of licenses granted. Most data is handwritten. Double entry keying and proofreading for over 99.9% accuracy.

Federal 990, 990EZ and 990PF tax forms submitted by not-for-profit organizations. A web database company has hired CPI to capture printed and handwritten data from the majority of fields from the publicly available federal tax forms filed by not-for-profit organizations. We developed OCR/ICR software to extract data from structured fields and use double entry keying to capture data from free form attachments.

Quantity: 200,000 forms processed since 11/03, project is approximately one-third complete

Quarterly Unemployment Tax Reports. CPI is capturing printed and handwritten data from quarterly tax reports submitted by employers to a state unemployment agency. Information captured includes employer data, payroll dates, employee name and ID, and wage amounts. To improve productivity and accuracy, CPI continuously updates a database of employee records to speed and verify data entry for each succeeding quarter.

Quantity: 1.2 million records per quarter, since 2003 (more than 10 million processed to date)

Zoning Board of Appeals Judgments - Midwestern city. CPI coders captured index data from Zoning Board of Appeals decision documents. Data captured included property description, sidwell number, appellant names, and date of final ruling. CPI used a database of available sidwell numbers to validate this field data, and double entry keying.

Project

Retirement Plan Enrollment Index. Midwestern City Retirement System engaged CPI to capture index data from retirement cards dating to the 1920's. Index data included retiree name, retirement system number, social security number, and retirement date/date of separation or death. Because of numerous changes to the enrollment process over the decades, staff was trained to recognize multiple forms, number formats and the retirement system process for re-employment, inheritance, etc. Documents had mixed handwriting and typewriting.
